How does presentation pack hire work?
You book the pack, we deliver everything to your venue, set it up, and collect it afterwards. The projector, screen, and all required cables arrive together — you don't need to source anything separately. Once everything's positioned and connected, we'll test it before we leave so you know it's working correctly and you're not troubleshooting on the day.
What's included in the presentation pack hire?
Our presentation pack hire includes a projector, projection screen on a stand, HDMI cable, and a wireless presenter clicker. The exact contents can vary by package, so check what's listed when you get a quote. A power extension lead is included to give you some flexibility on where the projector sits. Confirm the full contents at booking — it's much easier to add something before the day than to scramble for a cable an hour before your presentation starts.
Does the hire include a laptop or computer?
No — a laptop is not included. The presentation pack gives you everything you need to display your content, but you'll need to connect your own device. Most modern laptops connect directly via HDMI; if yours only has USB-C or DisplayPort, bring the appropriate adapter. We include an HDMI cable in the pack, but we'd recommend having your own adapter on hand as a backup if your laptop uses a less common port.
How do I connect my laptop to the hired projector?
The most common connection is HDMI — plug the cable into your laptop's HDMI port and into the projector, and it should be detected within a few seconds. If your laptop is newer and only has USB-C ports, you'll need a USB-C to HDMI adapter (not included). Wireless presentation is also possible on some of our projectors via a dongle or screen-casting; ask us when you book if wireless connectivity is important for your setup. Either way, it's worth doing a test connection before your audience is in the room.
What room size and audience size does the presentation pack suit?
It depends on the projector brightness (measured in ANSI lumens) and the screen size in your pack. As a general guide: a projector rated around 3,000–3,500 lumens suits smaller boardrooms and training rooms with 10 to 30 people in a darkened or dim space. Step up to 4,000–5,000 lumens for medium rooms of 30 to 80 people with some ambient light. For large halls, conference venues, or audiences over 100 people, you'll want 5,000+ lumens and a larger screen. When you get a quote, tell us your room dimensions, estimated guest count, and whether the room can be darkened — we'll make sure the pack matches the space.
Do you deliver and set up the presentation pack?
Yes. We deliver to your venue, position the screen and projector, run the cables, and test the connection before we leave. Please have the area where you'd like the screen positioned cleared in advance — especially in conference rooms where furniture may need to be moved. Delivery is available across Johannesburg, Randburg, Sandton, Midrand, Pretoria and surrounding areas; delivery fees are charged by km from our depot.
Can we collect the presentation pack ourselves?
Yes, self-collection is available and saves the delivery fee. You'll collect from our depot, and our team will brief you on setup and connection at that point. The projector and screen transport safely in their carry cases — just make sure you have a vehicle with enough boot or back-seat space for the screen stand. Return everything the following day in the same condition.
What are the power requirements for a hired projector?
The projector runs off a standard 220V South African plug point. Most portable event projectors draw between 200 and 350 watts — well within what a standard plug point handles. You'll need a plug point within reach of where the projector is positioned; we include a power extension lead, but try to keep cable runs tidy if guests will be moving around the room. If you're also running a sound system or other AV equipment at the same event, make sure you're not overloading a single circuit — particularly in older buildings.
How long does it take to set up the presentation equipment?
Allow 30 to 45 minutes from arrival for a standard projector and screen setup — that includes positioning, cabling, and a test run. If you need precise mounting, a specific room layout, or you're connecting to an existing sound system, budget a bit more time. For corporate events in Johannesburg and Pretoria where the schedule is tight, let us know your venue access window when you book so we can plan arrival time accordingly. It's far better to arrive with time to spare than to be setting up while the first attendees are already walking in.
Do I need a technician or AV operator for my presentation?
Not necessarily. Once the equipment is set up and the connection is tested, most users manage the presentation themselves — you just plug in and go. That said, if you're running a multi-speaker conference, switching between multiple laptops, managing a live video feed, or simply want a technical person on hand for the duration, we do offer an operator as an add-on. It's not included in the standard hire. For corporate training days, AGMs, and conference events in Sandton and Midrand, having dedicated tech support often pays for itself in avoided stress. Can I use the projector and screen outdoors?
Projectors are very difficult to use outdoors in daylight. Even a bright 5,000-lumen projector is washed out by direct sunlight or strong ambient light — the image becomes hard to read. If your outdoor event is in a shaded area or runs after dark, it becomes much more viable. For daytime outdoor events, you'd need a controlled, shaded environment and a high-output projector. As a rule: indoor or dusk/evening outdoor setups work well; daytime outdoor in open sunlight doesn't. Talk to us if you're planning anything outdoors and we'll give you an honest assessment.
What screen size is included, and how do I know if it's big enough?
Screen sizes in our packs typically range from around 80 inches to 120 inches diagonal, depending on the package. A good rule of thumb: the furthest seat in the room should be no more than six times the screen height away from the screen. So a 100-inch screen (roughly 1.25m high in a 16:9 ratio) works well for rooms where the back row is 7–8 metres from the front. If your room is long or deep, a larger screen — or seating your audience closer — will make a meaningful difference to readability. Tell us the room dimensions when you book and we'll advise.

What happens if I need to change or cancel my booking?
Let us know as soon as possible and we'll do our best to accommodate you. Changes made more than 2 weeks before the event are generally straightforward, subject to availability. Inside 2 weeks we'll still try, but we can't always guarantee the same equipment on the new date. All changes must be put in writing. For cancellations: if you cancel more than 7 working days before your event, you're entitled to a full refund. Cancel within 7 working days and the booking fee is not refundable.
