Frequently asked questions

How does ice cream machine hire work?
You book the machine, we deliver it to your venue, set it up, and collect everything once your event is done. The hire includes the soft serve machine, the ice cream mix, cones or cups, and any toppings included in your package — it all arrives in one delivery. Just plug in, wait for the machine to chill down, and you're ready to serve.
What's included when I hire a soft serve ice cream machine?
The hire includes the soft serve machine, ice cream mix in your chosen flavour(s), and serving supplies (cones or cups) sized for your guest count. Toppings and extras vary by package — confirm exactly what's in yours when you book. There's nothing extra to source or organise beforehand.
How many guests can one soft serve machine serve?
As a general guide, one machine can comfortably serve around 150 to 250 guests over a two- to three-hour event, depending on how quickly guests cycle through and how large each serving is. At a birthday party in Randburg or a school fun day, that's usually plenty for a steady queue. If you're running a high-traffic event — a corporate function in Sandton, a large community day in Pretoria, or anything with a short peak window — two or more machines will keep the line moving and guests happy. Let us know your expected guest count and event format when you enquire so we can point you in the right direction.
Do you deliver and set up the soft serve machine?
Yes. We deliver to your venue, set the machine up where you'd like it, and collect everything afterwards. The machine needs to be positioned on a flat, stable surface — a sturdy table works well — with a power point within reach. Please have the area ready before we arrive so we can get it sorted quickly. Delivery is available across Johannesburg, Randburg, Sandton, Midrand, Pretoria and surrounding areas; delivery fees are charged by km from our depot.
Can we collect the soft serve machine ourselves?
Yes, self-collection is available and saves the delivery fee. Our team will walk you through setup and operation at collection. The machine is heavy and needs to travel upright, so come prepared with enough vehicle space and strapping to keep it secure — we don't supply tie-downs. Return it the following day as agreed at collection.
What are the power requirements for a hired soft serve machine?
The machine runs off a standard 220V South African plug point. It draws a meaningful load — typically in the range of 1,500 to 2,200 watts during operation — so it works best on its own circuit or at least a circuit that isn't already carrying a slush machine, coffee urn, or other heavy appliances. A dedicated 20-amp circuit is ideal. Older homes or garden venues can sometimes struggle with this; if you're not sure about your venue's setup, drop us a message before the day and we can talk through it. We've done ice cream machine hire at everything from Joburg townhouse gardens to Pretoria farm venues to corporate office parks, and we've seen most configurations by now.
How long does the soft serve machine take to be ready to serve?
This is the one thing to plan around. Once the mix is loaded and the machine is switched on, it needs roughly 30 minutes to 2 hours to chill down before it's ready to dispense properly — the exact time depends on the machine model and ambient temperature. Outdoors in a warm Joburg summer can slow this down slightly. We factor this into our delivery window so the machine is ready before your guests arrive. Don't switch it off and back on during the event — it needs to stay running to maintain temperature.
Does the soft serve machine need an operator to run it?
The machine is manageable without dedicated staff, but it does take a bit more attention than a popcorn machine. Someone needs to keep an eye on mix levels, watch the dispensing lever, and make sure guests don't overfill their cones. We show you how everything works at setup. If you'd prefer to have one of our operators there for the full event so your team can focus elsewhere, we offer a staffed hire option — just ask when booking. Operators are an add-on; they're not included in the standard hire.
Do we need to clean the soft serve machine before it's returned?
No. Leave the cleaning to us. The machine should be switched off before we collect so it can start defrosting, but you don't need to disassemble or wash anything — we handle all of that back at the depot.
Is soft serve ice cream allergen-friendly?
Standard soft serve mix is dairy-based, so it contains milk. Most mixes also contain soy. If any of your guests have a serious dairy or soy allergy, the standard mix is not suitable for them. We can't confidently claim the mix is nut-free, as supplier facilities may also handle nuts — if you have a guest with a nut allergy, request the full ingredient list when you book so you can make an informed call. Soft serve is not suitable for guests who are lactose intolerant unless a specifically lactose-free mix is available — ask us about this when you enquire.
What flavours are available for soft serve machine hire?
Vanilla and chocolate are the standard options, and they're the most popular by far — vanilla especially disappears fast. Some packages allow for both flavours in a twin-twist dispense. Availability can vary depending on what mix stock is in season or on hand, so confirm your flavour choice when you book rather than assuming. If you have something specific in mind, ask — we'll let you know what's possible.
Can I use the hired soft serve machine indoors or outdoors?
Both work, with a few things to bear in mind. Outdoors, keep the machine in the shade — direct Joburg summer sun raises the ambient temperature and makes the machine work harder to maintain chill, which can slow output. The machine cannot get wet, so make sure it's sheltered from rain. Indoors, it's straightforward: just a plug point and a flat surface. Either way, keep it away from heat sources like braais or outdoor heaters nearby.
Is it safe to have a soft serve machine at my event?
Yes. The machine has no exposed hot elements — it's a refrigeration unit, not a heater. The main practical safety point is that the dispensing lever should be operated by an adult or a supervised older child, not by small kids on their own (the results can get messy fast). Place the machine on a stable, level surface and keep the area around the front clear so there's room for guests to serve themselves without bumping into each other. Our machines are regularly maintained and serviced.
How far in advance should I book a soft serve machine hire?
As early as you can. Soft serve ice cream machine hire is popular at kids' parties, school events, and year-end functions, and popular dates fill up quickly. A week's notice is usually workable during quieter periods, but we can't guarantee availability on short notice. For December — school holidays, year-end functions, Christmas parties in Midrand and Pretoria — book at least four to six weeks ahead. The machines fill up faster than most people expect.
What happens if I need to change or cancel my booking?
Changes to your booking can be accommodated up to 2 weeks before the event, subject to availability — let us know as soon as possible and we'll do our best to move things. Inside 2 weeks we'll still try, but we can't always guarantee it. All changes must be put in writing. For cancellations: if you cancel more than 7 working days before your event, you'll receive a full refund. Cancel within 7 working days and the booking fee won't be refunded. Check our full terms when you book for the details.
What types of events work well with a soft serve machine hire?
Honestly, most of them. Kids' birthday parties are the obvious fit — soft serve gets a massive reaction from children and keeps them occupied. But it works just as well at school fêtes, church events, matric farewells, garden parties, corporate year-end functions, and market days. It's been a hit at weddings in Sandton and sports days in Pretoria. Pair it with a chocolate fountain or a candy floss machine for a full dessert station, or let it stand on its own — it draws its own crowd either way. If you're planning a bigger setup, ask us what other kit is available to hire alongside your ice cream machine rental.
More about ice cream machine hire randburg, johannesburg

It never lasts as long as you think it will

Soft serve machine hire at a kids' party has a way of becoming the main event. The food is served. Everyone has eaten. Then the soft serve station opens, and thirty seconds later there is a queue of eight children and four adults pretending they're supervising. You refill the mix and there's another queue. It doesn't stop until the machine switches off.

This is worth knowing before you book, because it affects how you plan. Soft serve is not a casual extra. It's a draw. When it's running, people are at it. You need enough mix, enough serving supplies, and ideally someone keeping an eye on the dispenser lever — small children given unsupervised access to a soft serve tap produce results that are both impressive and inconvenient.

Our hire includes the machine, the ice cream mix in your chosen flavour, and cones or cups sized to your guest count. It all arrives in one delivery. We set it up and collect once your event is done.

The chill-down window — plan around this

Soft serve machines are refrigeration units. They don't get hot; they get cold — and that takes time. Once the mix is loaded and the machine is running, it needs roughly 30 minutes to two hours to reach the temperature where it dispenses properly. The ambient temperature matters: a warm Joburg afternoon outdoors in Randburg or Pretoria takes the machine longer to stabilise than a cool indoor function room.

We factor this into our delivery schedule. We arrive ahead of your start time to give the machine the time it needs. What you need to factor in on your side is that the machine should not be switched off and back on during the event — it needs to stay running to hold temperature. If load shedding is a possibility at your venue, that's worth flagging when you book.

For outdoor events, keep the machine in the shade. Direct afternoon sun in a Joburg or Midrand summer pushes the ambient temperature up and the machine has to work harder. Output slows. The same machine in a shaded gazebo or covered area will outperform one baking in direct light.

Vanilla vs. chocolate — and what guests actually want

Vanilla is the correct answer for most events. This might seem like the boring take, but it's consistently true: vanilla soft serve disappears faster, draws fewer complaints, and works with more toppings than chocolate. It's also what most children ask for by default.

Chocolate has its crowd, and if your event skews adult — a corporate year-end function in Sandton, a milestone birthday — offering both in a twin-twist machine is genuinely popular. As a single-flavour choice, vanilla holds the room better.

Confirm your flavour preference when you book rather than assuming availability. Supply varies and choices sell out. If you have a specific requirement or want both flavours, mention it early.

Who should run a soft serve station

Soft serve needs a bit more active attention than a popcorn machine. The dispenser lever is the main point of concern — guests who have never used one tend to pull it all the way down and hold it, which means cones piled far beyond serving size and mix gone much faster than your guest count predicted. Someone at the machine to help with each serve keeps things moving, keeps waste down, and stops the machine from being drained in the first twenty minutes.

This doesn't have to be a dedicated professional. A responsible adult who's been shown how it works is plenty for a birthday party in Johannesburg or a school event in Pretoria. For larger events — corporate year-end functions, markets, community days in Midrand — where throughput matters and you'd rather not manage it yourself, we do offer a staffed hire option. It's an add-on to the standard soft serve machine hire rate, not included by default.

What pairs well with soft serve machine hire

Soft serve works as a standalone dessert station. It also works as part of a larger sweet setup where each item has a distinct format.

Slush machine hire is the most natural pairing — one is cold and drinkable, the other cold and edible — and between the two you cover the sweet cold cravings of a full afternoon party. For an event that needs more variety, candy floss machine hire adds something spun and visual that stands apart from both.

At school fêtes, sports days, and kids' parties across Johannesburg and the surrounding areas, soft serve and slush together are the combination that keeps children at the fun food area longest. Which, depending on your event, is either a convenience or a crowd management problem.

Send us your date and guest count and we'll put together a bundled quote that covers everything in one invoice.
